IF is looking for a PR & Client Communications Coordinator – you will act as the studio’s representative in communicating our brand identity, focusing on two main areas: presenting our architectural projects to the media and serving as the first point of contact for new client inquiries. If you are highly organized, communicate professionally, and can execute basic artwork or graphics to support PR tasks independently, you will be a key player in smoothly and effectively connecting our design team’s work with the outside world.

 

What We’re Looking For:

  • Experience: 1–3 years of experience in public relations, communications, client service, or studio management (experience in an architectural firm, or design studio is strongly preferred).
  • Communication Mastery: Exceptional listening, speaking, reading, and writing skills. You must be comfortable drafting polished client emails one minute and pitching to design journalists the next.
  • Organizational Skills: Highly structured and detail-oriented, with the ability to juggle daily lead inquiries while maintaining long-term PR outreach campaigns.
  • Software & Platforms: Proficiency in social media management, client communication channels, and basic spreadsheet or database tracking (e.g., Airtable, Excel).

What You’ll Do:

1. Client Intake & Lead Management

  • First Point of Contact: Monitor and respond to incoming project inquiries, general emails, and website contact forms from potential clients in a timely, professional, and welcoming manner.
  • Lead Screening & Logging: Conduct initial vetting of new leads by sending intake questionnaires, answering foundational questions about studio capabilities, and logging details into our CRM or internal tracking system.
  • Handoff Coordination: Schedule initial consultation calls or discovery meetings between qualified leads and the Creative Director or account management team.

2. Public Relations & Media Outreach

  • Media Relations: Build and maintain an active database of journalists, editors, design bloggers, and industry publications.
  • Pitching & Press Releases: Write compelling project narratives and press releases. Proactively submit completed design projects to targeted publications and digital media outlets.
  • Inquiry Management: Act as the primary liaison for all press, media, and interview requests, coordinating schedules and supplying comprehensive press kits.

3. Content & Channel Management

  • Social Media & Website Admin: Manage the content calendar across platforms (e.g., Instagram, LinkedIn, Pinterest, studio blog), and regularly update the content and project feeds on the company’s website. Write engaging captions, schedule posts, and maintain community engagement by replying to comments and direct messages.
  • Simple Visual Production: Make minor adjustments to artwork or create basic social media graphics using pre-established studio brand guidelines and templates.

4. Awards & Events

  • Award Submissions: Research relevant national and international design awards, track deadlines, and manage the administrative assembly of entries (compiling project data, written narratives, and required documentation).
  • Event Support: Provide logistical and administrative support for studio-hosted events, exhibitions, or press preview days, including managing guest lists and RSVPs.

5. Studio Administration & Archiving

  • Photoshoot & Cross-Team Coordination: Coordinate with designers to gather and verify project details, updating the Airtable database to ensure accurate information handoffs. Schedule photoshoots with property owners, track photographer schedules for projects nearing completion, and follow up on final photo deliveries for PR and social media use.
  • Press Kit & Asset Archiving: Organize and maintain the studio’s digital archive of professional photography, project write-ups, brand guidelines, and press clippings, ensuring files are correctly labeled and accessible.
  • PR & Lead Reporting: Track published features, social media metrics, and lead conversion numbers. Assemble simple monthly summaries for studio leadership.
